JOB SUMMARY:

Accountable for the accurate and timely execution of all office administrative activities in support of the region’s business goals and operations while executing local AR/AP activities, contract management, general office administration and human resource functions. Create and maintain a positive, professional working environment that reflects the organization’s mission, vision and values.

MINIMUM QUALIFICATIONS:

Education

  • Bachelor’s degree in business management or related field, or equivalent related work experience.
  • 5-7 years related work experience.

Experience

  • Minimum of 5 years of direct experience managing multi-site branch operations including the oversight of staff productivity, processes and procedures. Leave customer experience creating and maintaining positive internal and external client relationships, and mentoring effective teams, preferably in landscaping or direct service industries.

License or Certification

  • Valid Driver’s License from state of employment, required.

Specialized Skills

  • Basic knowledge and understanding of general accounting practices.
  • Strong internal and external customer service.
  • Ability to demonstrate a positive professional demeanor and contribute to a culture of excellence.
  • Effective oral and written communication.
  • Proven track record of very high attention to detail and organization.
  • Proven ability to work within time constraints with limited supervision.
  • Ability to prioritize work load and change direction quickly depending on deadlines.
  • Demonstrated skill in using ERP to perform end to end activities
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to adjust to changing priorities and handle multiple tasks simultaneously, with attention to detail.
  • Intermediate to advanced math.
  • Ability to read, write and comprehend English.
  • Ability to read, write and comprehend Spanish, preferred.
  • Intermediate to advance understanding of the Microsoft Office Suite, , IFSor similar ERP programs.

ESSENTIAL DUTIES

  • Manage the administrative staff’s productivity and progression through each month’s activities while ensuring they have the necessary skills and tools to be successful.
  • Partner with the Branch Managers and Management throughout the Region, making sure they have the tools necessary to effectively make operational decisions.

Office Administrations

  • Create, develop and maintain all office operations, workflow and procedures.
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurements.
  • Maintain office staff by recruiting, selecting, orienting, and training employees.
  • Maintain office staff job results by coaching, counseling, and disciplining employees.
  • Conduct regular performance reviews of office staff in addition to planning,monitoring and appraising job results.
  • Manage and comply with all company driven deadlines.
  • Effectively communicate written and orally all policy or procedural changes to internal clients.
  • Delegate and manage project-based work to office staff, follow-up and report results to Management.
  • Keep management informed by reviewing and analyzing special reports, compiling information and identifying trends.
  • Maintain and protect sensitive company data by adhering to internal security controls.

Fiscal Responsibilities

  • Accountable for oversight and management of timely and accurate processing of requisitions, purchase orders and vendor invoice transactions.
  • Accountable for timely, accurate processing of non-recurring accounts receivable invoicing, and specialized recurring accounts receivable invoicing.
  • Regular review and follow-up on AR Aging Trial Balance report.
  • Support Accounting Department in balancing all revenue and expenditure accounts in accounting system monthly against other reports such as CRM generated, monthly projections, etc. to prepare month end accounting close.
  • Processing and managing general liability and auto liability claims.
  • Manage office expenditures and other lines to budget on a monthly, quarterly, and on an annual basis.

Contract Administration

  • Assist Business Development with contract proposals, RFP’s and customizing appropriate sales & marketing materials. Consult with Marketing/Customer Service as needed.
  • Manage the setup, maintenance and/or removal of all landscape maintenance accounts in ERP.
  • Manage renewals and revisions of active landscape maintenance contracts in support of Branch and Account Managers.
  • Manage the setup, maintenance and/or removal or all snow and ice accounts and contracts in ERP, where markets are applicable.
  • Manage portal activity for key clients and chain accounts.
  • Manage subcontractors for contract and insurance compliance.

Workers Comp Management

  • Oversite of branch administrator follow up of injured workers medical reports, in unification with the Risk Management Department
  • Facilitate communication between injured worker, supervisor, and attending physician to ensure clear and consistent information on injured worker goals and progress. (if needed)
  • Work in conjunction with the branch administrator and/or area manager on Monarch’s return to work program, including development of initial light duty job offer and description; claim management; and wage reimbursement.

Human Resource Responsibilities

  • Have a working knowledge of the company Employee Handbook and be able to answer general questions from region operation employees.
  • Work with the HR Business Partner (for salaried employees) to ensure accuracy of offer letters, day 1 of on-boarding, orientation and off-boarding of branch employees.
  • Other duties as assigned.

Please note that the salary information shown below is provided in compliance with state specific laws. Salaries are based upon candidate experience and qualifications, as well as market and business considerations, and therefore may be different in other locations or operating divisions.

Pay range: $82,000 - $115,000
